Instead of adding suppliers one by one, you can import your whole vendor list from a spreadsheet. The import accepts CSV and Excel (.xlsx) files of up to 500 suppliers per upload.
Downloading the template
- On the Suppliers page, open the ⋯ menu and choose Import data.
- In the import dialog, download a template:
- Excel template (recommended): contains a Suppliers sheet with one sample row, plus an Instructions sheet that explains every column — whether it is required, the expected format, and an example. The instructions appear in your app language (English or Spanish).
- CSV template: the same columns with a sample row, for plain-text workflows.
You can also expand the field guide directly inside the dialog to review every column without leaving the page.
If you already have suppliers in Seloria, use Export Excel from the same menu instead. The export uses exactly the same columns as the import, so you can edit the file and re-upload it without reformatting anything.
Filling in the file
Only one column is required: name. Everything else is optional.

Each row can also include up to five contacts using the columns contact_1_name through contact_5_lang. For each contact you can set a name, email, phone, role, and a notification language (es or en, defaulting to Spanish) that controls the language of emails Seloria sends that person. Contact 1 automatically becomes the primary contact.
Uploading and the duplicate pre-check
- Drag your file onto the upload area, or click it to browse.
- Seloria parses the file and shows a preview table before anything is saved. Each row is marked:
- OK (green) — will be imported.
- Duplicate (amber) — a supplier with the same name, or the same tax ID, already exists in your organization. Hover over the badge to see which existing supplier it matched. Duplicate rows are excluded automatically; nothing is overwritten.
- Invalid (red) — the row has a validation problem, such as a malformed email. Hover to see the exact issue.
- The counters above the table summarize how many rows are valid, duplicated, or invalid.
To fix invalid rows, click Back, correct the file in your spreadsheet tool, and upload it again.
Confirming the import
Click Import (n) — the number shows exactly how many valid rows will be created. The server re-checks duplicates as a safety net, and each row is processed independently, so one problematic row never blocks the rest.
When the import finishes you see a result screen with:
- The count of suppliers created and skipped.
- A named list of every supplier created.
- A named list of every skipped row with its reason (duplicate, invalid, or error).
What gets created
Each imported row becomes an Active supplier with all its details, its categories and certifications, and its contact people (exactly one marked as primary). Imported suppliers appear immediately in the directory and can be invited to RFQs, evaluated, and issued purchase orders like any other supplier.
